Soon we have a new start to the year, another one where we start loaded with great goals and good intentions. But like many other years, you will reach the month of February having forgotten or given up on many of those great purposes. On the contrary, we will raise our stress levels and accept, once again, that being overwhelmed is normal for our level of responsibility. At the end of the year, we stop to reflect arriving at great ideas and filling ourselves with goals and plans, but we continue to fail in the most determining factor to achieve them: our ability to organize ourselves, manage our time and find ways to increase productivity .

Whenever we talk about productivity and personal effectiveness for entrepreneurs, managers or professionals with a certain level of responsibility, I like to insist, as Tom Peters pointed out, that it is one of the most decisive skills for developing a full and successful career at a professional level. . And not only that, it will probably be the one that will help us the most to be able to reconcile personal and professional life without remorse or a feeling of lack of control or results. This will surely result in an improvement in our happiness and success, in this case, on a personal level.


My experience as a coach for top managers is always similar, achieving more results, greater control and less stress is possible, regardless of your level of responsibility. Ironically, though, it takes time to do it, and above all, improving your productivity and effectiveness should be a goal in itself. And with the wish that we start today, we are going to reflect on five ways to increase the productivity of the company and the effectiveness and time management.

The five ways to increase productivity

With all that said, here are the five ways to improve productivity at work:

1.Manage your energy proactively

“We do not manage time, we manage energy.”

The care and attention we give to three types of energy: physical, cognitive and emotional and to improve or maintain them at a good level, will be directly proportional to the quality of our hours. Therefore, eight hours with a good energy level is equivalent to ten of others with worse energy. Because when your energy drops, your work hours are less productive, so you have to maintain an optimal energy level during the day to perform at work. We must be very attentive to our energy levels, as well as plan everything that makes us improve them, from physical energy by sleeping well, eating correctly and doing sports, to issues that need more attention such as our emotional and cognitive state, due to its influence on the quality of our time.

2.Avoid distractions at work: eliminate time stealers and bad habits

In positions of high responsibility, we need time to deal with all the challenges. That is why it is useful to know ourselves and to know how we usually lose it because we cannot afford it.

Something that has caught my attention in these years is the little awareness that people have of their many distractions, caused in most cases by themselves. We have introduced a way of working where we deal with many personal issues during the work period, thanks to technology (WhatsApp, internet, social networks…), which makes our day to day much more enjoyable. However, if we aspire to invest the fair and necessary hours at work, we must avoid this practice, no matter how comfortable or more enjoyable it may be. Time is also wasted during the working day by following the inertia set by others or by the company or organization itself. In those cases, it is necessary to be professional and know how to say no to certain topics. We get carried away by what I call the “m&

3.Focus on what really matters

We are addicted to inertia and letting ourselves be carried away by the day to day, without prioritizing. We forget the basis of the Pareto principle : there are 20% of topics that lead to 80% of the results. Hence, trying to identify that 20% in writing leads us to many more chances of success. That 20% will mark where we have to direct our efforts and where we cannot go wrong.

To work with coherent intentionality , we must know how to identify what is most important, highlighting which are our highest priority actions and ensuring that our energy is directed towards themin a coherent and consistent manner over time. It is precisely the frequency and consistency over time that will lead us to success in a gradual and progressive way.

4.Create habits that lead you to be productive

“We do not decide our future. We decide our habits and our habits decide our future .”

This quote was a determining signal in my own life to understand the importance it had in order to be productive. At that time I was not able to be aware of how enslaved I was to the habits that I had been creating, something that I see in the vast majority of my executive and business clients. One of the most important ways to increase productivity is to establish a set of habits. These habits (fortunately there are not that many) can guarantee that, under any circumstance, we manage to be effective . Despite their simplicity, the initial effort to create them is great. But, once created, they can be easy to maintain. In parallel, we must also strive to eliminate old habits that take us in the opposite direction.

The habits that we must learn to internalize as soon as possible to ensure our ability to work effectively are the habits that will help us achieve what is indicated in the first three keys. And all this, in a natural and simple way, that is, they keep energy levels high, saving time and finally planning the priority from month to week and from week to day, ensuring effectiveness in a natural way.

5.Take time to think about how you organize and plan your time  

As simple as it sounds, but as important as the rest. One of the best productivity strategies is to block out a moment of the week where you think about how you have organized yourself, what has gone well, what has gone wrong, and what you want to improve next week . This way you will gradually improve productivity.

Ironically, we spend a lot of time learning countless subjects and knowledge about labor issues, but very little time developing this competence, which is the basis of our own improvement and evolution.
